Purpose of the Educational Supervisor

The ES supports the training, education, and professional development of Foundation Doctors throughout the full foundation year by:

  • Monitoring educational and professional progress
  • Ensuring assessments and records are completed
  • Reporting concerns to the Foundation Programme Training Director
  • Providing or signposting pastoral and career support

Supervisors should meet trainees regularly—minimally at the start of the year, end of each placement, and end of the year (F1s usually need more frequent contact).


MEETING FRAMEWORK

1. August – Initial Meeting

Focus on:

Getting to know the trainee

  • Background (F1 or F2 experience), local support network, work–life balance
  • Any personal/health issues affecting training
  • Any anxieties or expectations for the year

Training needs

  • Goals for the year; strengths and weaknesses
  • Career ideas and plans for exploring interests
  • Understanding of curriculum and assessments
  • Identifying areas of curriculum harder to evidence
  • Use of study leave, tasters, and (for F2s) maxcourse account and regional teaching

Agree communication methods and encourage early contact with clinical supervisors, especially in posts outside the Trust.

  • PDP completed and discussed
  • Log the meeting (Initial ES meeting form)

2. November/December – End of Placement Review

Before meeting:

  • Check Clinical Supervisor report (including PSG—each trainee needs at least one per year)
  • Review any concerns on Horus and discuss with CS if needed

During the meeting, discuss:

  1. Induction, workload, clinical supervision
  2. Problems in the post and resolution needs
  3. Teaching and presentation skill development
  4. Changes in health/personal circumstances
  5. Absence record
  6. Career planning updates
  7. F2 audit progress
  8. Teaching logs and regional teaching (F2s)
  9. Study leave use and tasters
  10. Evidence logged for Post 1 (narrative drafts, assessments, CS report)
  11. Reflective practice
  12. Curriculum evidence and gaps
  13. PDP for next post

Complete the ES End of Placement report and escalate issues to FPD as needed.


3. March/April – End of Placement Review

Same structure as Nov/Dec meeting, plus:

  • Review TAB results (each trainee must complete 1 per year)
  • Ensure sufficient responses, discuss feedback, and release results on Horus

4. End May/June – Final Sign-Off Meeting

The ES completes the End of Year Report, recommending the trainee to the ARCP panel.

Each trainee must provide evidence of:

  • Clinical supervisor reports from all posts
  • TAB
  • Curriculum evidence demonstrating achievement of the 13 FPCs and progression towards the 3 HLOs
  • Regular SLEs
  • Minimum 30 hours core teaching and total 60 hours teaching
  • Regular reflections
  • Summary narratives for each HLO
  • Engagement with feedback
  • Attendance record

Escalate any concerns to the Foundation Programme Director.


Appendix – Study Leave (Key Points)

Study leave Policy - Study Leave - Foundation

F2 Study Leave Allocation (30 days total)

Includes:

  • 5 days teaching (min 4 regional + 6 hrs foundation teaching)
  • 1 day simulation
  • 5 days tasters (F1s may use 5 days for tasters or career planning)
  • 5 days GP learning sets
  • 2 days ALS

F2s not in GP have 17 days, and those in GP have 12 days remaining for other courses.

Teaching Hours

  • All teaching must be logged in the Horus personal learning log
  • Non-verifiable teaching must also have an additional achievement form

ARCP Requirements

  • Minimum 60 total teaching hours (30 core)
  • F2s must attend minimum 4 regional teaching days (24 hours)
  • Max 6 hours eLearning counted
